What we hold

Employee records, attendance punches, leave, payroll and the documents you upload — entered by you as the data controller. We act as your processor. We also hold account details for the people who sign in.

Why we hold it

Solely to provide the service you subscribe to: computing attendance and pay, producing payslips and statutory challans, and giving your employees self-service access. We do not sell data and do not use it to train models.

Where it lives

Application data is stored in our managed MySQL database; uploaded files are stored encrypted in object storage. Access is restricted to authorised operations staff, and every administrative action is written to an audit trail.

Sharing

We share nothing with third parties except the infrastructure providers needed to run the service, and where the law requires it.

Retention & deletion

Data is kept while your subscription is active and for 90 days after it ends. You may request an export or deletion at any time by writing to support@merciglobal.com.

Phone apps (Merci HRMS and Merci HRMS Admin)

The apps show the same data as the website, to people their company has given a login; there is no sign-up in the apps. On the phone they use only:

• Location — read once, at the moment an employee taps Punch, and saved with that punch so the company can confirm it was made at the workplace. It is never tracked in the background.
• Camera and photos — only when the user chooses to photograph or attach a bill or a document for HR.
• Notifications — a push token (Google Firebase Cloud Messaging) so we can tell the user when a request is decided, a payslip is ready or, for HR, when something waits for approval. Signing out removes it.
• The sign-in token is kept in the phone’s secure keychain / keystore.

The apps contain no advertising, no third-party analytics and no tracking across other apps or websites. To close an app login or have its data deleted, ask your company’s HR team or write to support@merciglobal.com.

Your employees’ rights

Employees can see their own record, attendance and payslips in the self-service portal, and can ask their HR team to correct anything inaccurate.
